Job Description:
We are seeking an Administrative Assistant who is motivated, detail-oriented, a team player with exceptional communication, technical, and problem-solving skills to support our project managers, daily office operations, and accounting team. This role plays a key part in maintaining smooth internal workflows, ensuring accurate documentation, supporting project managers, and delivering professional communication to clients and staff. The ideal candidate is organized, proactive, and comfortable balancing multiple responsibilities in a fast-paced, project-driven environment. In addition to project support, this position will assist our current administrative staff with front desk duties, answering phones, formatting reports, and various other miscellaneous office support tasks.
Job Responsibilities:
- Support general office operations, including phone coverage, reception duties, email management, and data entry.
- Greet and assist visitors and direct incoming calls in a professional manner.
- Provide a wide range of administrative support tasks as needed to maintain an efficient and organized office environment.
- Coordinate with Project Managers to gather billing details and support documentation.
- Set up new projects using internal systems, including entering client information, budgets, and files for field personnel.
- Help ensure project documentation is organized, complete, and easily accessible.
- Assist Project Managers and field staff with administrative requests and project-related coordination.
- Scan, compile, and distribute project reports to clients.
- Assist with internal review and quality control to verify accuracy before document release.
- Assist with special projects or internal initiatives when needed.
Qualifications:
- High school diploma required, associate degree or higher preferred.
- 1-3 years of administrative or accounting support experience (engineering, architecture, or construction-related experience preferred but not required).
- Proficiency with Microsoft Outlook, Word, Excel, SharePoint, and Adobe PDF editing tools.
- Strong written and verbal communication skills.
- Excellent time management and organizational abilities.
- Basic understanding of financial concepts and comfort working with numerical data.
- Professional demeanor, positive attitude, and customer-service mindset.
